Look After Events Teams.

Andy Robertson

With potential lockdowns and remote working seemingly back on the agenda anyone responsible for managing events teams will have the challenge of maintaining a motivated team. There are actions event organisers can take to ensure that the physical and mental health of their teams is maintained throughout this period.

Aside from the obvious challenges of managing and planning for future events with ever moving dates firmly in the mix the stress levels in event team members is likely at an all-time high. Not only are dates constantly changing and logistics potentially in chaos but event teams are probably also worried about the security of their own position and employment too. There are steps that event organisers and employers can take to maintain a good well-balanced motivated team by investing time and resources on their physical and mental health. Here are some suggestions that managers can turn into actions during these periods of enforced working from home.

Social Time.
Regular ‘social time’ online group calls perhaps with a few drinks and some fun games or karaoke competitions for example. This helps pull the team together and can be a fun time for team members to look forward to each week.

Physical Exercise.
Get team members to take regular exercise, it is possible to purchase online workout routines as part of team members' package. To maintain regular exercise, get team members to keep a record of their progress over time and share with colleagues.

Healthy Eating.
Provide pre-paid vouchers from healthy food outlets or simply provide a menu form one to each team member and ask them to order whatever they like courtesy of the employer.

Business and Financial Updates.
All employers should be up front and honest at all times about employment prospects and any financial difficulties but balance any such messages and updates with a positive outlook and reinforce how all team members are valued.

Whilst these are just suggestions they do help focus on the physical and mental wellbeing in the events team. For an event organising company these are stressful times and it is key to remember not to focus only on work. Once the industry reverts to some sense of normality measures like these will hopefully be a motivating factor leading to a more productive, loyal and happy team. The benefits will likely have a knock-on effect in how future events are managed leading to longer term financial success too.

For those responsible for event teams it is important to keep in touch on a regular basis to maintain motivation and enthusiasm and it’s a good opportunity to check on any potential mental health issues too. Using a combination of regular calls and online collaboration tools can make this process much easier.

Using an events software management platform like FestivalPro event organisers get all the functionality they need to manage their teams with excellent scheduling and team management capabilities. The guys who are responsible for this software have been in the front line of event management for many years and the features are built from that experience and are performance artists themselves. The FestivalPro platform is straightforward to use and has comprehensive features for team collaboration with dynamic calendars making it easy to stay in touch
